I worked out a system years ago - I check the milage on everything at the end of the month and record it in a spreadsheet that also has the maintenace log. So it's pretty easy to tell when it's time to change the oil or rotate the tires. I have a pop-up reminder in Outlook that comes up on the last weekday of the month to remind me to check the milage.
